Process One LLC (“Process One,” “we,” “us,” or “our”) operates process1.io and connects businesses with payment providers and our community donation program. This Privacy Policy explains how we collect, use, disclose, and retain information when you visit our website, contact us, refer a business, request a processing review, or participate in our program.

1. Information we collect

Information you provide

Our website has separate forms for local businesses, organizations, and supporters:

Local businesses: First and last name, email, phone number, business name, approximate monthly card volume, optional uploaded processing statements, and any information included in the optional message field.
Organizations: First and last name, email, phone number, organization name, whether you have a business to refer, and any information included in the optional message field. If you provide referral details, we also collect those details.
Supporters: First and last name, email, optional phone number and organization name, the referred business’s name, its contact person and contact details, and information about your relationship to the business or other referral details you submit.

We also collect information you provide in emails, calls, enrollment documents, and other communications. For program administration, this may include a selected recipient, an organization’s legal name and tax identification number, evidence of recipient eligibility, acceptance records, donation acknowledgments, and donation payment records.

Please provide only information relevant to your inquiry. Before uploading a processing statement, cover or remove full card numbers, full financial account numbers, and other unnecessary sensitive information. Do not submit Social Security numbers, online banking credentials, or customer card information through our contact forms. If you refer someone, provide business contact information you are authorized to share.

Information from other sources

We may receive business contact information from referrals, publicly available business listings, and business contact-data providers to identify and contact prospective participants. Participating payment providers may also provide account status, processing summaries, and commission information needed to support accounts and calculate program donations.

Website usage information

We use Google Analytics 4 (“GA4”) to understand how visitors use our website. GA4 uses cookies and collects information about website activity, device and browser characteristics, referral sources, and approximate geographic location. Our website hosting provider may also process technical information, such as IP addresses and request logs, to deliver and protect the website.

We do not use advertising pixels, session recording, or heatmaps. Apart from Google Analytics cookies, we do not use other cookies on our website.

2. How we use information

We use information to:

Respond to requests and follow up about the processing review or donation program.
Review processing statements and prepare pricing comparisons or payment-service recommendations.
Facilitate introductions and applications to participating payment providers when requested.
Evaluate organization eligibility, manage recipient selections, and administer the donation program.
Calculate, document, and report donations and account-specific adjustments.
Contact prospective businesses about our services and respond to referrals.
Understand website use, improve our website, and maintain its operation and security.
Maintain records, comply with applicable obligations, and resolve disputes.

Details submitted through our contact forms are used to follow up about your request and the program and to administer any resulting participation. Submitting a referral does not enroll the referred business, create a processing account, or authorize transactions.

3. How we disclose information

We disclose information as needed for the purposes described in this policy:

Service providers: Providers supporting website hosting, analytics, email, business communications, document storage, and program administration may process relevant information on our behalf.
Payment providers: When you request assistance with payment services or enrollment, we may provide relevant business, contact, and processing information to the participating processor or payment organization to support that request.
Selected organizations: For participating accounts, quarterly reports identify the business, selected organization, and donations made by Process One associated with that business. These reports do not disclose processing volume or Process One’s commissions. We do not provide uploaded processing statements to donation recipients.
Legal and protective purposes: We may disclose information when required by law, in response to lawful requests, or as reasonably necessary to protect rights, address fraud or security issues, and resolve disputes.
Business transactions: Information may be transferred as part of a merger, acquisition, or transfer of our business, subject to applicable law and appropriate notice where required.

We do not sell personal information or disclose it for cross-context behavioral advertising. Public use of a participant’s name or logo for recognition or sponsorship requires separate permission.

4. Payment processors and financial information

Process One is an independent sales organization and/or referral partner, not the payment processor. Merchant applications, underwriting, bank details, settlement, and payment processing are handled directly between the merchant and the applicable processor or payment provider. Process One does not collect merchant banking credentials or bank details through its website contact forms.

Processors and payment organizations have their own privacy notices and agreements. This policy covers information handled by Process One; it does not govern a provider’s independent handling of information. A processing statement you choose to upload to Process One is covered by this policy even if it originated with a processor.

GA4 helps us measure website visits and interactions. Google processes analytics information under its applicable terms and privacy policies. Learn more at How Google uses information from sites or apps that use its services and Google’s Privacy Policy.

You can manage or delete cookies through your browser settings. You can also install the Google Analytics opt-out browser add-on on supported browsers to prevent your website activity from being made available to Google Analytics. These choices apply to the browser or device where you make them. Blocking cookies does not delete information previously collected.

6. Information retention

Uploaded processing statements are retained for 90 days from upload and then purged from Process One’s storage. This period applies to the uploaded statements, not to separate contact records, review results, enrollment records, or donation records. A processor’s retention of information submitted directly to it is governed by its own policies.

Other information is retained for as long as reasonably necessary for the purposes described in this policy, including following up on requests, supporting participation, maintaining business and donation records, meeting applicable recordkeeping obligations, and resolving disputes. We retain limited suppression records as needed to honor requests not to receive outreach. We have set Google Analytics to keep event-level and user-level data for 14 months. Aggregated reporting based on that data may be kept longer, and Google's own practices also apply.

7. Your choices and requests

You may contact info@process1.io to request access to, correction of, or deletion of information we hold about you, or to ask questions about our practices. Depending on where you live and whether applicable privacy law covers the information and our activities, you may have additional rights, including obtaining a copy of information, opting out of specified processing, or appealing a denied request.

We will handle requests in accordance with applicable law. We may need to verify your identity or authority before acting. Some records may need to be retained for legal, security, accounting, or dispute-resolution purposes. If a request is denied, you may ask us to reconsider by emailing the same address with “Privacy Appeal” in the subject line. We do not discriminate against you for exercising rights provided by applicable privacy law.

To stop promotional or prospecting emails, use an unsubscribe option when provided, reply asking us to stop, or email info@process1.io. We may still send non-promotional communications needed to administer an existing relationship, such as donation reports or program notices.

8. Security

We take reasonable steps to protect information against unauthorized access, use, or disclosure. No internet transmission or storage system is completely secure. Please avoid sending unnecessary sensitive information and redact full card and account numbers from processing statements before uploading them.

9. Children’s information

Our website and services are intended for adults acting on behalf of businesses, organizations, or referral participants. We do not knowingly collect personal information from children under 13. Supporting a school or youth team does not require sharing information about individual children. If you believe a child has provided personal information to us, contact info@process1.io so we can address it.

10. Third-party links

Our website or communications may link to processors, organizations, and other third parties. Their websites and services have their own privacy practices. Review their notices before providing information to them.

11. Changes to this policy

We may update this policy as our practices change. Updates will be posted on this page with a revised “Last updated” date. Where applicable law requires additional notice or consent for a change, we will provide it.
